Advertising Mail January to March Incentive application

A checklist of what you'll need before you start your application:

 

1. Applicant details
• Company name (as registered with Companies House)
• Contact details (including email address)
• Details of any agent that is managing your application (optional)

2. Royal Mail Account Numbers
If you have postage accounts in your own name that are used when posting Advertising Mail, you will need to provide full details.

3. Access Operator and UCID details
Only required if you post through Royal Mail Wholesale.

4. Mailmark Supply Chain ID (SCID)
You must use Mailmark in trays for this incentive. Postcards are not allowed.

5. Forecast test volume
• Format
• Weight band (max 101-250g)

Please note: You will be unable to submit this application if the start date is within 10 working days.

1. Customer information

The applicant is the customer that is applying for the incentive and will benefit from the postage credit.

You and the customer will receive an acknowledgement email once this form is submitted.

When we have completed the verification checks we will send the application to the customer. The customer will be required to confirm they have read and understood the Royal Mail Group Scheme for Growth Framework Terms and the Royal Mail Group Advertising Mail January to March Incentive Terms.

You will not be required to accept the Terms & Conditions at the bottom of this form.

2. Customer supply chain details that will be used for this incentive

Mailmark Supply Chain ID (SCID)

 
The customer shown in section 1 of this form must be the Mail Originator within any SCID that links to this application.

If you have entered more than one SCID please add a comma between each entry.

Additional information: Royal Mail Mailmark® service provides customers and Royal Mail with reporting and management information on mailings. The Mailmark service requires customers to include a barcode on their mail piece. The Mailmark barcode has specific requirements customers need to adhere to and must contain a unique item reference number and a Supply Chain ID. The Supply Chain ID allows us to attribute the posted volume to the correct customer. To use Mailmark services and qualify for an incentive you have to be a participant in the Mailmark supply chain. If you are not already set up as a participant please contact mailmark@royalmail.com

Postage accounts

Please list the Royal Mail postage account or the Access Operator account(s) and detail the UCID(s) that will be used for this incentive.

(UCID is the unique, identifying number assigned to you by an Access Operator for your mailings. You are likely to have multiple UCIDs if you post from more than one site and/or post under more than one postage account.)

If you have entered more than one account number please add a comma between each entry. A Retail account refers to mail items that are posted directly with Royal Mail. (Royal Mail perform the collection and delivery).
If you have entered more than one account number please add a comma between each entry. A Wholesale account refers to mail items that are posted via a DSA (Down Stream Access) postal provider.

Access Operator details

Please list all Access Operators and reference all the UCID numbers that will be used to post your test volume. (Leave blank if you do not post through an Access Operator).

Your Access Operator is the DSA (Down Stream Access) postal provider that is responsible for handing your items over to Royal Mail.
If you have entered more than one UCID please add a comma between each entry. UCID means the unique, identifying number assigned to you by an Access Operator for your mailings. You are likely to have multiple UCID numbers if you intend to use more than one mailing site.

3. Incentive details

Please provide a description of your mailing campaign(s) to be carried out with this incentive. Please include details such as what you are advertising, whether mail is being used in conjunction with other media, and who is your target audience.
 

4. Forecast and product details

*First posting date
Enter the first date you expect mail to be handed over to Royal Mail.
*Last posting date
Enter the last date you expect mail to be handed over to Royal Mail. The last posting date must be within 6 months of the first posting date.

Volume forecast by month

Enter the expected volume you intend to post within each month.

Volume forecast by product

We require a breakdown to enable us to accurately forecast your potential credit award.

Please list the product(s) and respective volumes you intend to mail under the Promotion.

5. Evidence that will be required to support your application

After we have reviewed your application we will contact you to request supporting evidence.

• Your 12-month mailing/campaign plans from before and after the announcement of the Promotion, showing the additional activity due to the January to March Incentive Promotion; and

• Dated internal communication showing the decision-making process for agreeing to use of the January to March Promotion Campaign; or business case showing an increase in advertising budget to accommodate more volume because of the Promotion.

• If you do not have any of the above, we require an email from a director of the company confirming that the volume is incremental and that it is only being posted because of the incentive.

6. Terms and conditions

I have read and understood the Royal Mail Group Incentive Scheme Framework Terms and the Royal Mail Group Advertising Mail January to March Incentive Terms. I am duly authorised to make this application on behalf of the Customer named above.

Please note that this should only be ticked if you are the customer submitting the application.
