Terms and Conditions
Royal Mail Group Ltd (“RMG” or the “Promoter”) is offering you the opportunity to win a prize as part of the “Letter to England/Scotland” campaign (the “Prize Draw”). Please read the below Terms and Conditions carefully. By entering the Prize Draw, you will be deemed to have accepted these Terms and Conditions.
1. Eligibility
1.1 The Prize Draw is open to UK residents aged 18 and over (including employees of RMG) who must be entering on behalf of a child of school age (4-17 years old) (the “Entrant”).
1.2 The Promoter reserves the right to verify the eligibility of Entrants.
2. Entry
2.1 To enter the Prize Draw, you must submit a letter of support to the England or Scotland men’s national football team, written by the child on whose behalf you are entering, between 00:01 21 June 2026 and 23:59 19 July 2026 inclusive (the “Prize Draw Period”) and supply a return address or contact details in the same envelope as the letter.
2.2 Entrants must be a parent, guardian, teacher or other authorised adult entering on behalf of the child. Maximum one entry per adult on behalf of the child.
2.3 Entries received outside of the Prize Draw Period will not be accepted.
2.4 No purchase is necessary.
2.5 Royal Mail will deliver the letters received to the English or Scottish FAs according to whether they are addressed to “Freepost England” or “Freepost Scotland”.
3. Selection of winners
3.1 There will be ten (10) winners , made up of seven [7] number of winners from the England team entrants and three [3] from the Scotland team entrants.
3.2 Winners will be selected at random during the Prize Draw Period from all valid entries by an independent person or panel.
3.3 The decision of the Promoter is final and no correspondence will be entered into.
3.4 By entering, Entrants acknowledge that, if their entries win, Royal Mail may publish or make available their surname and county and, if applicable, those of the child on whose behalf they have entered. If you object to this information being published, or wish to limit the information shared, please contact us at the time of entry. In such cases, Royal Mail may still provide this information to the Advertising Standards Authority, if required.
4. The Prize
4.1 The school or club nominated by the winning entries will receive £1,500.00 only to be used towards sports kit. The Recipient Organisation will not be able to add additional funds to the Prize to purchase sports kit of up to £1,500.00 (the “Prize”).
4.2 The Prize will be awarded to the nominated school or sports club (the “Recipient Organisation”) and not to the Entrant personally. Winners will be required to provide the nominated Recipient Organisation once contacted by Royal Mail.
4.3 The Prize is non-transferable, non-exchangeable and cannot be redeemed for cash or any alternative.
4.4 The Promoter reserves the right to substitute the Prize with an alternative of equal or greater value where necessary.

6. Recipient Organisation Eligibility
6.1 By accepting the Prize, the Winner confirms that the Recipient Organisation:
• it is based in the UK;
• it provides or supports sporting activity for individuals under the age of 18; and
• it has appropriate safeguarding, health and safety and insurance arrangements in place.
6.2 The Recipient Organisation must not engage in activities which:
• violate any applicable law or regulation;
• promote offensive, harmful or inappropriate material; or
• are otherwise contrary to the Promoter’s legitimate interests or may pose a reputational risk.
6.3 The Promoter reserves the right, at its sole discretion, to request reasonable evidence of compliance with this clause and to withhold, withdraw or reallocate the Prize where it reasonably believes these criteria are not met.
7. Administration of the Prize
7.1 The Prize will be fulfilled in the form of sports kit to the value of £1,500.00, to be provided to the Recipient Organisation.
7.2 The Prize must be used solely for the purpose of supporting participation in team sports for individuals under the age of 18.
7.3 The Recipient Organisation agrees to use reasonable endeavours to ensure the Prize is used appropriately and for its intended purpose.
7.4 The Promoter reserves the right to determine, at its sole discretion, how the Prize is fulfilled and delivered.
8. Checks by Royal Mail
8.1 The Promoter reserves the right to carry out reasonable verification and compliance checks on entries and Recipient Organisations.
8.2 Such checks may include (but are not limited to):
• verification of eligibility;
• confirmation of the existence and suitability of the Recipient Organisation; and
• review of the submitted entry.
8.3 The Promoter reserves the right to disqualify any entry or withhold the Prize where it reasonably believes there has been:
• a breach of these Terms and Conditions;
• the provision of false, incomplete or misleading information; or
• any attempt to manipulate or unfairly influence the Prize Draw process.
9. Fulfilment and ordering of the Prize
9.1 The Prize will be arranged directly with the Recipient Organisation following confirmation of the winner.
9.2 The Recipient Organisation may be required to provide information reasonably necessary to facilitate fulfilment of the Prize (including, but not limited to, sport type, sizes or kit requirements) and the award of a Prize is conditional on this.
9.3 Prizes will be awarded as described in the promotional materials (or a reasonable equivalent) and will be issued within 30 days of winner selection.
9.4 The Promoter reserves the right to use third-party suppliers to fulfil the Prize and to determine the final specification of the sports kit provided.
9.5 The Promoter shall not be liable for:
• delays caused by third-party suppliers; or
• errors or omissions in information provided by the winner or Recipient Organisation.
10. Data Protection
10.1 The Promoter will process personal data obtained through the Prize Draw in accordance with applicable data protection legislation and its Privacy Notice, available at: https://www.royalmail.com/privacy-policy, which also includes further information about your data protection rights
10.2 In the case of winning entries, personal data provided by Entrants (including name, address and contact details of the Entrants themselves, and of the child on whose behalf they have entered) will be used for the purposes of:
• administering the Prize Draw, including to undertake the checks referenced in clause 8 of these T&Cs;
• contacting winners; and
• facilitating delivery of the Prize.
10.3 Royal Mail has a legitimate interest in processing this personal data for these purposes so that we are able to run this Prize Draw.
10.4 Royal Mail will retain personal data obtained through the Prize Draw for six months following the end of the Prize Draw Period.
10.5 Royal Mail will not use personal data obtained through the Prize Draw for marketing purposes unless separate consent from the Entrant and/or Recipient Organisation, as necessary, has been obtained.
10.6 If you think that we have broken any UK data-protection law, you have the right to complain to us. If you want to make a complaint, or to exercise any of your data-protection rights, please email irgt@royalmail.com or complete the webform available on our Privacy Notice. You may also complain to Information Commissioner’s Office, who can be contacted at www.ico.org.uk.
11. General
11.1 The Promoter reserves the right to amend, suspend or cancel the Prize Draw where it becomes necessary to do so due to circumstances outside its reasonable control.
11.2 The Promoter shall not be liable for any loss, damage or injury suffered by entrants as a result of entering the Prize Draw or accepting the Prize, except where liability cannot be excluded by law.
11.3 Nothing in these Terms and Conditions shall exclude or limit the Promoter’s liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
11.4 The decision of the Promoter in all matters relating to the Prize Draw is final.
11.5 If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
11.6 These Terms and Conditions are governed by English law and entrants submit to the exclusive jurisdiction of the English courts.
