Advertising Mail™ is the perfect solution for your Direct Mail campaigns – and it’s anything but standard. It’s available for postings of 1,000 letters, large letters and packets and upwards - 250 large letters when unsorted - and comes with the service you’d expect from Royal Mail. You can tailor Advertising Mail, by selecting from a range of flexible and cost-efficient options.
Your choices include:
- Letter, large letter or packet
- 1st Class or 2nd Class or Economy delivery speeds
- Mailings from 1,000 letters or packets - or 250 large letters
- A range of options to prepare and present your mail

Delivery speeds
We have a range of delivery speeds. Our standard options are:
- 1st Class: next working day
- 2nd Class: within two working days
If you choose to sort your mail, you have additional options:
- 1st Class: next working day
- 2nd Class: delivery aim within two working days after the day of posting
- Economy Class: delivery aim within four working days after the day of posting
- Economy Class Deferred: we will deliver the items within four working days after a date you determine.
- Our Big Book option and Heavyweight option both have a two-week delivery service.
Working days are Monday-Saturday.
Volumes
Minimum volumes start from 1,000 letters and packets - and 250 large letters if you choose not to sort your mail.
- If you sort your mail, then a minimum of 4,000 letters or 1,000 large letters or packets is required.
- For our Big Book option and Heavyweight option formats, there is a minimum volume of 12,000 items in a single mailing.
Preparing and presenting your mail
With Advertising Mail you have the option to give your mail to us to process and deliver – or, if you choose, to make your mail machine-readable or sort to save money.
Making your mail machine-readable:
Save money by preparing your mail so that addresses can be read by our machines. You can either use an approved OCR font or Barcodes. There are two levels of address accuracy:
If you want to become accredited and be assured a set price:- Standard - if 90% of your addresses and postcodes are accurate
- Plus – if you can meet 95% address accuracy.

Sorting your mail
Save money by sorting your mail and making sure your addresses are accurate. There are two levels of sortation:- Low Sort (up to 88 ways) if your mail is machine-readable
- High Sort (up to 1,525 ways) which doesn’t require you to make your mail machine-readable.
Types of mail containers to use
Depending on the type of mail you send, you could use one of the following containers:- Trays
- Bags
- ALPS (auto-levelling packet sleeved York)
- Unbagged (shrink wrapped).

How to order
To use Advertising Mail™ you'll need to have an account with Royal Mail and meet a few important criteria. These include assuring us that your mailing is a largely uniform message to all addressees and that your data meets our specifications. We’ll want to see a sample of your mail piece together with a copy of your sales order.
We'll make getting started easy. With a standard option from 1,000 items and no sorting or address preparation necessary, you can be set up in no time. However, if you can sort your mail, you'll be able to choose from highly competitive discounted options too.Need to set up an account?

Already have an account?
If you already have an account, contact a member of our business team on 08457 950 950*. They will tell you how to add the Advertising Mail™ product you want. It will speed things up if you can have your Royal Mail account number to hand when you ring us.
Once you have decided which Advertising Mail™ options meet your requirements; and you've read and agreed the terms and conditions and our sales team have set you up with a unique reference, you can log in to your Online Business Account (OBA), locate your reference number and get started on your mailing.

If you want to use our Advertising Mail Big Book or Heavyweight service you’ll need to complete our online Advertising Mail Big Book/Heavyweight Booking Form. We’ll email you a written confirmation of your booking.
Please note that there is limited capacity for some delivery weeks and bookings are made on a first come, first served basis, so we recommend you return booking forms as soon as possible. Bookings can only be accepted up until four weeks prior to the start of the delivery week you would like your mailing to be delivered.

What qualifies as Advertising Mail?
Mailings made up of a largely uniform message to all addressees with the purpose of promoting the sale or use of products or services; those that encourage contribution to, or support of a cause, are classed as Advertising Mail. We ask all Advertising Mail users to send us a sample of their mail piece for approval prior to issuing a licence for each mailing.

What is Big Book?
If you’re sending more than 12,000 items, catalogues, magazines or brochures, try Big Book, our specialist, advertising mail service for more substantial items. The service delivers with the regular post, taking your publication, brochure or catalogue straight into your customers’ homes. It is:
- ideal for items over 750g up to 1,500g
- suitable for single price-per-item
- deliverable with the daily post
- bookable for deliveries up to four weeks ahead
- bookable for a two-week delivery window

What is Heavyweight?
You can plan your bulky heavyweight mailings with confidence when you use our Heavyweight service. Whether you’re sending 12,000 or over a million items, it is designed to deliver your heavier, inflexible B4-size packets, first time. It is:
- suitable for items between 751g and 3,000g
- delivered with the daily post
- bookable up to 12 months in advance
- convenient with pricing in 250g bands

bookable for a two-week delivery window.

What is the Barcode or OCR option?
There are two ways to make your mail machine-readable: using an OCR font or applying a barcode.
OCR stands for Optical Character Recognition and makes it easier for our sorting machines to read the address on your letters or large letters. Using OCR means you will have to print the addresses on your items according to our OCR guidelines - using certain approved fonts. You also need to leave areas of your envelope clear to enable us to apply code marks to your item. There is an OCR option for letters or large letters. A detailed specification for the OCR variants is contained in the User Guide.
A barcode on an item enables our sorting machines to process your mail quickly and efficiently because barcodes contain detailed information on the delivery address of each item. If you or your mailing agent can apply a barcode to your letters, you can achieve the maximum savings. The process of applying and constructing barcodes can be quite technical, so a detailed specification for the application of barcodes is contained in the User Guide.
If you do not have the ability or technical capability to apply a Barcode or make the item meet OCR requirements, then use our Standard or High Sort option. For the High Sort option, you will have to meet 90% address accuracy against our Postal Address File (PAF) and be able to sort your mail up to 1,525 ways, as specified in the Royal Mail Selection Files.

How fast can you deliver?
We have a range of delivery speeds. Our normal options:

- 2nd Class: within three working days
If you can sort your mail, we can offer the following range:
- 1st Class: next working day
- 2nd Class: delivery aim within two working days after the day of posting
- Economy Class: delivery aim within four working days after the day of posting
- Economy Class Deferred: We will deliver the items within four working days after a date you determine
- Big Book and Royal Mail Heavyweight are two-week delivery service products.

Depending upon the format, size and if you can make your mail machine-readable or sort it, you can present your items in trays, bags or ALPS (auto-levelling packet sleeved York). In some instances, you are able to present your mail unbagged.

Do you collect the mail from us?
If you spend over £15,000 per year with us or if you are using one of our sorted options, we will collect your mailings free of charge. If you don’t qualify, we can provide either one-off or regular daily collections at a pre-arranged time, or tailored special collection services. For more information, see Business Collections.

Will the ASBOF (Advertising Standards Board of Finance) levy be included within the item postage price?
This will not be shown separately on the Royal Mail invoice, but it will be included within the item postage price that you pay. ASBOF Levy is voluntary and its value is passed to ASBOF by us at the end of each financial year quarter. Find out more on the Advertising Mail pricing page and in our Terms and Conditions.

How do I get accredited for ensuring my mail is machine-readable?
You need to go through one or more elements of a quality assurance process. One stage requires you to show your address data meets the required standards for the product option you have chosen, the other stage requires you to prepare sample items which meet our design, address and (where relevant) barcode specifications. The forms are available from your account manager or www.royalmailtechnical.com under Quality Assurance.
